Room Reservations

Note: These are subject to change and may be updated anytime.

There are many rooms in Winthrop House that are available for use by community members. Browse the Winthrop website to learn more about Winthrop's rooms. Many spaces are open for use without reservations, some are freely available for use unless there is a scheduled event, and some require reservations. Note that common rooms and spaces may be reserved only by members of the Winthrop House community.
 

Room Reservations

For rooms that require reservations, many can be booked using RoomBook but some require contacting the Winthrop House Administrator wi-ha@fas.harvard.edu
  • Reservations are permitted from 9 AM-11 PM
  • If you do not receive an email confirming the reservation, you are not permitted to use the space.
  • Requests must be submitted at least 48 hours in advance. Requests for Sunday or Monday should be submitted by Friday 12pm, so that there is enough time to review them.
  • Reservations can be scheduled up to 1 month in advance.

  • All reservation blocks are limited to 3 hours.
  • No recurring reservations
  • All spaces are set as-is.
    • No setup or room configurations will be approved.
  • An individual requesting the space must be an active undergraduate student residing in Winthrop House, or faculty/staff affiliated with Winthrop House.
  • If you are reserving a space for a student organization meeting, then you must be an active member of that student organization.
  • You must be present during the entirety of the event.
  • Dining:
    • Interhouse dining restrictions apply for all non-Winthropians coming into the House for approved meetings.
    • Requests for the Private Dining Room (PDR): no outside food during the servery open hours
  • Note that the Student Kitchen  requires a key to be picked up; see the Student Kitchen webpage for instructions.
  • For parties/private events in Winthrop House Common Spaces (Beren Rooftop Common Room only)
    • Please see the Party Registration page for more information.
    • Please note that priority will be given to students who live in hallway singles. Students in suites should seek to use their suite common space first.Hosts are responsible for cleaning up. Collect and remove all trash when your party ends (i.e., do not leave it until the next morning), including in public areas like hallways and stairwells. And please recycle your empties. Any damage should be reported to the House Building Manager.
    • Cleaning supplies are available in the House: see https://winthrop.harvard.edu/cleaning-supplies for details. Make sure you know where they are and make sure to use them as needed.

    • If there is any mess or damage in the common space after your event, you may be term billed for the costs of cleaning or repairs.

    • After a party in a Winthrop Common Space, you must send a photo of the space to the House Administrator (wi-ha@fas.harvard.edu) and Building Manager (sarah_gallant@fas.harvard.edu) confirming that the space has been cleaned and emptied of trash and recycling.

  • Reservations for Student Organizations:
    • Student Organizations are welcome to request to hold events or meetings in Winthrop House.
    • Parties or social events in Winthrop House for student organizations are rarely approved. If your request for a party or social event in Winthrop House is approved, you will need to follow the Winthrop House party process and also the process for student organizations, including registering your event with the DSO (see https://dso.college.harvard.edu/policies/health-and-safety#responsible-s... for more details). If your request for a party or social event in Winthrop House is not approved, we encourage you to connect with JR Bagley from the DSO and visit the SOCH website for event spaces and reservation opportunities.
    • Recurring meetings are not allowed, as it prevents others from using the spaces.
  • The House Office reserves the right to approve or decline room reservation requests and update reservation guidelines.

How To Reserve a Room on RoomBook

All requests for Beren Rooftop Common Room please complete this form: https://forms.gle/5gMi7zavnRxBujrw9. For rooms bookable via RoomBook:

  • Go to the RoomBook website, select the FAS shield
  • Select Winthrop House.
  • Enter the date or click the grid icon and select the date.
  • Enter the start time and end time (Please try to limit individual meetings to no more than two consecutive hours)
  • Enter expected attendance (number of attendees).
  • (Optional) Click the “Room Type” drop-down to narrow the search by room type.
  • Click the “Find Space” button.
  • A grid will appear that lists the spaces that can accommodate your expected number of attendees.
  • Select a room by clicking the “+” next to the room you want. Note: Solid blue indicates the room is already booked.
  • Scroll down and click the “Continue” button.
  • Enter the event name.
  • Select the event type.
  • Select “Winthrop House Students” from the Group drop-down list.
